Terms and Conditions

Meet Mongolia Join Tours LLC accepts bookings under the following terms and conditions. Please review them carefully.


1. Booking and Payment

Once you make your decision on your Mongolia tour, to secure your participation on a tour, a completed booking form accompanied by a deposit of USD 200- USD 600  per person is required depending on the tour duration and type. Upon receipt of the deposit, a booking confirmation and details regarding the remaining balance will be provided. No booking shall be confirmed, nor any contract deemed valid, until the deposit is received.

The remaining balance is due eight to six (6-8) weeks before the scheduled departure. For bookings made within six weeks of the tour’s start date, full payment is required at the time of booking. If the balance is not received by the due date, the company reserves the right to cancel the booking and apply the relevant cancellation charges as outlined below. The company assumes no liability for payments sent by postal mail. Accepted payment methods include bank transfers, international money transfer services, VISA, and MasterCard.


2. Cancellations

Cancellations made at least 60 days before the tour's start date will incur a service charge of USD 100 per person. While the deposit is otherwise non-refundable, it may be credited toward another trip scheduled within one to two years.

For cancellations after full payment has been made, the following fees apply:

  • 43 to 59 days prior to departure: 20% of the tour cost
  • 29 to 42 days prior to departure: 25% of the tour cost
  • 15 to 28 days prior to departure: 30% of the tour cost
  • 14 days or less (including failure to join the tour): 50% of the tour cost

Cancellations are effective upon receipt of written notification. It is highly recommended that clients obtain travel insurance to safeguard against unforeseen cancellations. While Discover Mongolia rarely cancels tours, the company reserves the right to do so. If a cancellation occurs on our part, all payments will be fully refunded.


3. Pricing

Scheduled tour prices are based on a minimum group size of four (4) participants. If fewer individuals register, the tour may proceed privately for an additional fee of USD 100–300 per person, depending on group size and departure date. Private tours require at least two participants.

Tour prices include accommodation in shared twin rooms. Single room occupancy is available upon request, subject to a supplementary fee. Any additional charges or optional activities not specified in the itinerary are the sole responsibility of the participant.


4. Passports and Visas

Participants must be aware of, and comply with, all passport and visa requirements. Adequate time should be allowed for obtaining these documents. Visas may be acquired through the Mongolian embassy or consulate in your country with a tour confirmation letter provided upon deposit. Where no embassy or consulate is present, a one-month visa can be obtained upon arrival at Ulaanbaatar airport or railway station using an official confirmation letter from Discover Mongolia Travel.

5. Insurance

Comprehensive travel insurance is essential for ensuring your safety and enjoyment during your journey abroad. Participants are strongly encouraged to arrange appropriate coverage independently.


6. Participant Responsibilities

All bookings are accepted with the understanding that participants acknowledge and accept the potential risks involved in the tours and agree to assume responsibility for their own safety and conduct.

Participants must follow the guidance and instructions of the tour guide, who is responsible for the safety and well-being of the group. Any conduct that compromises group safety may result in removal from the tour without compensation or refund.

All special requirements, including medical conditions, must be disclosed at the time of booking. Meet Mongolia Join Tours LLC cannot be held liable for incidents resulting from failure to provide necessary information.

Participants are responsible for their personal belongings and ensuring they possess all required documentation, including valid passports and visas. Smoking is prohibited in all tour vehicles.


7. Company Responsibilities

Meet Mongolia Join Tour LLC responsibility commences at the designated meeting location and time—typically upon meeting the tour guide in Ulaanbaatar. The company is not liable for any costs or issues incurred prior to this point, nor for failure to join the tour as scheduled.

Meet Mongolia Join Tour LLC assumes no responsibility for incidents arising from terrorism, political instability, war, natural disasters, or delays/cancellations by airlines or train services.


8. Itineraries and Tour Information

Tour itineraries serve as general guidelines and are not contractual commitments. Due to the nature of travel in Mongolia, participants must remain flexible, as delays, alterations, or unexpected changes may occur, potentially resulting in inconvenience or disappointment.

No refunds or compensation will be provided for unused services, transportation, or accommodation.

Tour details are accurate at the time of publication. Any significant changes will be communicated at the time of booking.


9. Complaints

Concerns or complaints should be addressed to the tour guide as soon as they arise, enabling prompt resolution. Appropriate action will be taken where possible.


10. Legal Jurisdiction

These terms and conditions are governed by Mongolian law and are enforceable only in Mongolian courts. If a resolution is sought after returning from the tour, written notification must be provided within 21 days of the tour’s conclusion. The company will endeavor to reach a fair resolution.
